Volunteer Responsibilities
Friday night
Setup Responsibilities:
- Setup track, chairs, tables, ropes, finish line, projector screen, etc
Raceday
Weigh In and Registration Responsibilities:
- Check car height, width, length, weight.
- Make sure the wheels are BSA wheels, and the treads are flat.
- Check off each registered scout, and notify Computer operator when all scouts have registered.
- Place registered cars in appropriate box on stage near starter’s table.
- Hand out derby license to each scout.
Food and Refreshments Responsibilities:
- Get volunteers at each badge level to bring goodies!
(Note: Food volunteers at each den level arrive just before that den level begins registration)
Photographer Responsibilities:
- Get some great photographs of the scouts and cars.
Master of Ceremonies Responsibilities:
- Announce races.
- Announce winners, and hand out trophies and ribbons.
- Help with Best Workmanship and Most Creative Design vote tallying.
Starter Responsibilities:
- Work with stager to get cars ready for each race.
- Place cars on track, and start race on announcer’s signal.
- After racing at each den level is complete:
- Place 1st place car for each den level into pack racing finals box
- Place all cars except 1st, 2nd, 3rd place finishers onto judging stand to allow voting for Best Workmanship and Most Creative Design trophies.
- Place cars that won Best Workmanship and Most Creative Design trophies into the appropriate pack finals box.
- Hand back all other cars to scouts.
- All scouts get ribbons.
- Help out Master of Ceremonies with giving out ribbons and trophies.
Stager Responsibilities:
- Work with starter to get cars ready for each race.
- Read printout of the upcoming races for each heat and stage cars for the races.
- Work with runners to get cars back to the staging area after each race.
- After racing at each den level is complete:
- Place 1st place car for each den level into pack racing finals box
- Place all cars except 1st, 2nd, 3rd place finishers onto judging stand to allow voting for Best Workmanship and Most Creative Design trophies.
- Place cars that won Best Workmanship and Most Creative Design trophies into the appropriate pack finals box.
- Hand back all other cars to scouts.
- All scouts get ribbons.
- Help out Master of Ceremonies with giving out ribbons and trophies.
Runners Responsibilities:
- Retrieve cars after each race.
- Bring cars back to stager.
- Get a printout of the upcoming races for each heat and stage cars for the races.
- We have a 4 lane track. Sometimes only 2 or 3 of the lanes are used for a race. In these cases, wave you hand beneath the appropriate lane on the finish gate to trigger the sensor for the unused lane, but be sure to wait to all cars have finished racing before triggering a sensor.
Computer Responsibilities:
- Get computer, projector, printer ready before racing.
- Operate the computer for the racing.
- Supply registration checklist to starters.
- Tally voting for Best Workmanship and Most Creative Design trophies.
- Give list of racing, Best Workmanship and Most Creative Design winners to Master of Ceremonies.
Takedown and Cleanup Responsibilities:
- Take everything down and clean up.
